Summary

This position is responsible for the planning and coordination of events at Pathfinder Park Event Center for the County, this includes the outdoor arena, outside festival site, auditorium, meeting space, commercial kitchen, covered arena and any future build outs.   Responsibilities will include the organization of said events as it relates to equipment or materials owned by the county, being the subject matter expert for all of the facilities and the equipment, budgeting and maintaining spreadsheets, recommending upgrades, planning maintenance of the physical building, handling of issues, maintaining supplies, performing maintenance of the arena through use of equipment and tools of a varying nature, marketing of events (as needed) and conducting outreach through promoters to facilitate income producing events. Plans and coordinates events at the county facilities through rental agreements or income producing county sponsored events.  Organizes and assists in coordination of events including use of facility agreements, collection of fees, facilitates the set up and clean up of facilities based on user agreement(s).  Maintenance of County owned arenas before, during and after events within established criteria, this will include applying a sufficient amount of water to work and groom the grounds using equipment and hand tools.  Makes necessary arrangements with county departments to organize maintenance, cleaning or overall care of the county owned portion of the Park.  Markets public events scheduled for any county owned facility using social media, local press, flyers, banners or any other such method of advertisement.  Conducts outreach through various promoters to facilitate income producing events to ensure the facilities are financially self-sustainable.   Evaluates new or existing events for suitability and makes suggestions to enhance, improve or discontinue based on functional use of the facility(s), cost of event and sustainability.  Assists with outside venues for the County Fair.  This may include a carnival, vendors, concerts or shows.  Maintains communication with organizations, citizens, groups and other users of the facility(s) to ensure events are managed according to agreements.  Establishes and maintains lists of approved vendors for use by renters; caterers, liquor providers, DJ services, etc.  Ensures events are planned, coordinated and go as smoothly as possible, yet available to resolve any issues as they arise.  Communicates event statuses, outcomes and performance to the county.  Works to establish an income producing event center which is financially self-sustainable.  Serves as the liaison for the county to the renter, user or promoter.  Prepares annual budgets for department and works with the Finance Director in monitoring expenditures to ensure proper and efficient management of funds.  Reviews and approves P-Card statements for employees assigned to department ensuring all applicable receipts are attached.  Directs the ordering of supplies, materials and equipment to maintain acceptable inventory levels.  Trains and orients employees in the safe performance of duties and operation of equipment.  Trains and orients employees in the use of hardware, tools and equipment.    Researches, directs the preparation of, submits and administers related grants. 

Qualifications

Bachelor’s degree in marketing, communications, public relations, hospitality management or business administration; two 

to four (4) years of related experience; or combination of education and experience.

Additional Requirements

Valid and current Colorado Driver’s License.   Must have ability to work nights and weekends.
